Student employees play a vital role in our community as contributing members to nearly every Wellesley College department and office. As a supervisor, the role you play impacts not only the work of your department but often the success and retention of the students you supervise. Your contribution to the lives of our students as a supervisor is important and appreciated. 

The transition to Workday for student employment hiring is exciting for the College from the perspective of inclusive excellence, alignment with data systems, and efficiency in application and hiring. All hires moving forward will take place in Workday.

Important Dates

All campus hiring managers are strongly encouraged to post jobs, hire, interview, and select candidates during the below hiring periods. This streamlined approach supports inclusive excellence goals to ensure all students understand when to search for and apply to opportunities. In addition, we will be communicating these dates to student employees as ideal times to apply for positions. Hiring Managers should plan ahead 40 days before they would like a student to begin working. In the below Hiring Timeline, we have included the estimated times to complete each step. 

Student Employee Hiring Timeline

For the purpose of regulating hours, each semester will begin on the Sunday before the day the semester is scheduled to start. Please note Human Resources will be prioritizing academic support positions through the first couple weeks of the semester. View the Hiring Manager Manual for more information on hiring students during holidays, school closings, Wintersession and Summer. 

Training

Weeks listed as “Training” denote a period of time where new student employees can work up to 20 hours per week for training purposes. Training weeks are meant to assist supervisors in managing the beginning of the semester while providing time to train students. In addition, Human Resources will be especially equipped to assist students in completing onboarding paperwork, including verification of I-9 documents, during that period. Supervisors are strongly encouraged to allow their students to complete onboarding with Human Resources during scheduled work hours. 

 

Hiring For: Fall 2023

Returning Students 

  • July 23
    • First-year students gain access to apply for positions in Workday. 
    • Fall Semester & Academic Year positions are posted in Workday for all students to apply for. 
  • Ongoing - Late July - Early September
    • Students apply for positions in Workday and work with their supervisors to complete the hire process in Workday. 
  • August 20
    • Summer pay (if applicable) is reversed to Fall pay. Compensation rates from the Compensation Review process take effect .
  • September 2
    • Last Day of Summer Semester hours.
  • September 3-9
    • Training Week for the Fall semester. New student employees can work up to 20 hours per week across all positions. 
    • Onboarding should be completed before or during this week. 
  • September 10
    • Regular hours resume for the Fall semester. All students can work up to 15 hours per week across all positions.
 
Hiring For: Wintersession 2024
  • November 1
    • Positions for Wintersession are posted in Workday. All students are encouraged to apply. 
  • December 15
    • All students will be hired and onboarded for Wintersession employment by this date. 
  • December 24
    • Wintersession employment begins. Students are not required to work on dates the college is closed. 
  • January 20
    • Wintersession employment ends. 
Hiring For: Spring 2024
  • November 15
    • Positions for Spring are posted in Workday. All students are encouraged to apply. 
  • December 15
    • All students will be hired and onboarded for Spring employment by this date. 
  • January 21-27
    • Spring semester employment begins. Training Week for the Spring semester.
Hiring For: Summer 2024
  • March 31  
    • Positions for the Summer semester are posted in Workday. 
  • May 5-11 
    • All students will be hired and onboarded for Summer employment by this date. 
  • May 12
    • Summer employment begins. Students are able to work up to 40 hours per week across all positions.
